01 Why Microsoft 365?
Microsoft 365 is the complete business productivity suite used by millions of companies worldwide. For small teams in Ghana, it provides:
02 Step 1: Choose the Right Plan
Here are the main options for small teams. Prices in Ghana Cedis (GHS) approximate, billed annually.
| Plan | Price per user/month | Best For | Key Features |
|---|---|---|---|
| Business Basic | ~₵90 | Budget teams, web/mobile focus | Email, Teams, 1TB OneDrive, web apps only |
| Business Standard | ~₵188 | Most small teams (recommended) | Everything in Basic + Desktop apps, Bookings, webinars |
| Business Premium | ~₵330 | Teams needing strong security | Everything in Standard + Advanced security, device management, Defender |
Recommendation
Start with Microsoft 365 Business Standard for most small teams. You can upgrade to Business Premium later if you need advanced security features. Start with a free trial to test.
03 Step 2: Sign Up and Get Started
Go to microsoft.com/microsoft-365/business. Choose your plan and click "Buy now" or "Start free trial".
If you have a personal Microsoft account (e.g., @outlook.com, @hotmail.com), sign in. Otherwise, create a new account.
Provide your business name, address, and payment information. Microsoft accepts international credit cards and some local payment methods.
Microsoft can help you register a new domain (e.g., yourbusiness.com.gh) or you can connect an existing domain you already own. Professional email requires a custom domain.
04 Step 3: Set Up in the Microsoft 365 Admin Center
Go to admin.microsoft.com after signing up. This is where you manage everything.
Follow the wizard to verify domain ownership (usually by adding a TXT record to your domain's DNS settings).
Once your domain is verified, Microsoft automatically sets up email for your domain (e.g., name@yourbusiness.com). Users will log in with their new email address.
Enable MFA for all users. This is critical for security. See our 2FA guide for more details.
Critical: Create a separate Global Admin account
Don't use your daily account as the main admin. Create a separate account with Global Admin permissions (like admin@yourbusiness.com) and use that for administrative tasks only. This prevents accidental changes and improves security.
05 Step 4: Add Team Members and Assign Licenses
Enter the person's first name, last name, and desired username (this becomes their email address, e.g., kofi@yourbusiness.com).
Choose the product license (the plan you purchased earlier). Set a temporary password — they'll be prompted to change it on first login. Send the login details to each person securely.
06 Step 5: Configure Key Services
Email is automatically configured after domain verification. Create shared mailboxes (like info@ or support@) if needed: Admin Center → Groups → Shared mailboxes → Add.
Create teams/channels for departments or projects. Enable meetings, chat, and file sharing. Go to Teams admin center → Teams → Manage teams to set up.
Set default storage and sharing policies. Restrict external sharing to "Only people in your organisation" or "Specific domains only" for security. Admin Center → SharePoint → Sharing.
- Enable MFA for all users (already covered)
- Turn on spam/phishing protection — enabled by default in Exchange Online Protection
- For Business Premium: Set up Microsoft Defender policies (Security admin center → Policies & rules)
07 Step 6: Install Apps on Devices
Each user can install Microsoft 365 apps on their devices.
- Desktop apps — Go to office.com, sign in, and click "Install Office". Up to 5 PCs/Macs per user.
- Mobile apps — Download Microsoft 365 apps from Google Play Store (Android) or Apple App Store (iOS).
- Tablets — Up to 5 tablets per user.
Pro tip
Set up OneDrive folder backup on each computer to automatically back up Desktop, Documents, and Pictures to the cloud. Users will thank you when they switch computers.
08 Recommended Security & Best Practices
- Enforce MFA immediately — No exceptions. This blocks over 99% of account compromise attempts.
- Use strong, unique passwords — Combine with a password manager for all business accounts.
- Set up auto-expiring guest access — External sharing links should expire after 30-60 days.
- Regularly review user access — Remove accounts when people leave the team.
- Train your team on phishing — Human error is the biggest risk. Run simulated phishing campaigns.
- Enable backup — OneDrive/SharePoint have versioning (30 days default). Consider third-party backup for longer retention.
09 Typical Setup Timeline for Small Teams
Total setup time
For a team of 2-10 people, expect 2-6 hours of admin setup time. Add 1-2 hours for team training.
10 Cost-Saving Tips
- Buy annual subscriptions — Annual billing saves up to 20% compared to monthly.
- Only assign full licenses to people who need desktop apps — Use Business Basic for team members who only need email and web apps.
- Start with a trial — Test Microsoft 365 for 30 days before committing to annual payment.
- Look for partner discounts — Some Microsoft partners in Ghana offer local pricing and support bundles.
11 Common Mistakes to Avoid
- Using a daily account as Global Admin — Creates security risk. Always use a separate admin account.
- Not enabling MFA immediately — Accounts are vulnerable from day one without MFA.
- Ignoring domain verification — Professional email won't work until domain is verified.
- Giving everyone full admin access — Only Global Admins should have administrative permissions.
- Not backing up data before migration — Always have backups before moving emails and files to the cloud.
- Skipping team training — Microsoft 365 has powerful features; untrained teams won't use them effectively.
Your Business Is Now Microsoft-Powered
Your team now has professional email addresses, collaboration tools in Teams, cloud storage in OneDrive, and full Office apps on every device. Review security settings monthly and keep training your team on new features.
